Privacy Policy

Last updated: October 3, 2026

Phoenix Assembly Church ("the church," "we," "us") respects your privacy. This policy explains what information this website (phxassemblychurch.com) collects, how the church uses it, and how it handles giving records, including through the Deposit App, the church's private tool for recording offerings in QuickBooks Online.

Information you give us

When you use the contact form, you give us your name, email address, the topic you choose and your message. The form sends that message to the church by email so we can reply. The website does not keep a copy of it.

Information collected automatically

  • Language preference: a small cookie remembers whether you chose English or Spanish.
  • Server logs: our hosting provider records standard technical information about each visit (such as IP address, browser type and the page requested) to run and secure the site.
  • Embedded videos: sermon and livestream videos are embedded from YouTube using its privacy-enhanced mode (youtube-nocookie.com). YouTube may set cookies once you play a video; Google's privacy policy applies to that.

We do not use advertising trackers or sell information about visitors.

Giving records and the Deposit App

Like most churches, we keep records of gifts so we can account for them and give donors a record of their giving. These records include the donor's name, the amount, the date, whether it was cash or check, the check number, and photos of offering envelopes.

Authorized church staff record weekly offerings with the Deposit App, a private, password-protected part of this website that connects to the church's own QuickBooks Online company (provided by Intuit). Specifically, the Deposit App:

  • reads, in the church's QuickBooks company only, the customer (donor) list, products and services, accounts, payment methods and existing sales receipts, so it can match envelopes to donors and avoid entering a gift twice;
  • creates sales receipts, bank deposits, new donor records (only when staff confirm) and attaches envelope photos, as approved by church staff;
  • sends envelope photos to OpenAI's API to read the handwritten names and amounts, and the church reviews every result before anything is recorded;
  • stores envelope photos, the draft entries, how envelope names map to donors, and an encrypted QuickBooks connection in a private database that only the Deposit App can reach.

QuickBooks data is used only to keep the church's books. It is never used for marketing, sold, or shared with anyone other than the service providers listed below. The church can disconnect the Deposit App from QuickBooks at any time, which ends its access.

Service providers

We rely on these providers, each of which handles information only to provide its service to the church:

  • Vercel: website hosting.
  • Sanity: the site's public content (sermons, events, transcripts).
  • Resend: delivering contact form messages by email.
  • Neon: the private database used by the Deposit App.
  • OpenAI: reading offering envelope photos for the Deposit App.
  • Intuit QuickBooks Online: the church's accounting records.
  • YouTube (Google): sermon and livestream video.

How long we keep information

Contact messages are kept in the church's email for as long as they are useful for following up. Giving records are kept as long as needed for the church's accounting, tax and legal obligations. Envelope photos and draft entries in the Deposit App may be deleted once they are no longer needed for that purpose.

Security

The Deposit App requires a password, connects to QuickBooks through Intuit's secure authorization (OAuth 2.0), stores its QuickBooks access tokens encrypted, and uses encrypted (HTTPS) connections. No method of storage or transmission is perfectly secure, but we take reasonable steps to protect the information we hold.

Children

This website is not directed to children under 13, and we do not knowingly collect personal information from them through the site.

Your choices

You may ask to see, correct or delete the information the church holds about you, including your giving records, subject to records we must keep by law. Contact us at phoenixassemblychurch@gmail.com.

Changes to this policy

If we change this policy, we will post the new version here and update the date above.
